Reporting into the Dispensing Supervisor, the  Dispensing Administrator will take responsibility for maintaining the stock integrity and availability in order to ensure all Client orders are processed and delivered on time in full, in line with company processes and pre-agree Key Performance Indicators (KPI’s).
Main areas of responsibility

Stock Control & Goods Receipt:

  • Helping to maintain the accuracy of stock data held on the system including inventory levels
  • Prioritise urgent client orders through efficient order well maintenance
  • Communicate between customer service and dispensing team
  • Planning, co-ordinating and carrying out quarterly stock checks
  • Monitoring space and tracking stock levels
  • Assisting with the planning and booking of stock deliveries as appropriate
  • Quality checking delivery notes and orders against goods inwards
  • Assisting in the organisation of the transfer of stock throughout the network
  • Monitoring, alerting and reporting daily discrepancies in stock usage
  • Working closely with the National Distribution Centre team to:
  • Manage stock issues; ensuring timely communication to internal departments
  • Deliver against agreed inventory stock turns and manage service delivery within the defined KPI targets
  • Preparing reports as required
  • Preparing damaged stock reports
  • Processing stock returns
  • Maintaining effective working relationships with third party suppliers, internal and external departments.

Compliance:

  • Working with the Dispensing Supervisor to develop and maintain  departmental Standard Operating Procedures (SOP’s) and working instructions
  • Play an active role in ensuring a Safe working environment for staff in accordance with the Company’s Health and Safety Procedures
  • Day to day housekeeping
  • Ensure that all services are provided in accordance with current legislation / NHS guidelines and Company process and policy.

Stock, Ordering and Goods inwards:

  • Planning, coordinating and monitoring the receipt, order assembly and dispatch of client orders
  • Keeping stock control systems up to date and ensuring inventory accuracy
  • Ordering out of stock packing materials
  • Responding to and dealing with care centre communication by email and telephone

Systems & Reporting;

  •   Producing and interpreting regular reports and KPI statistics on a daily, weekly and monthly basi
  •   Acting as one of the on-site ERP system super-user

Other;

  • Liaising with internal departments, suppliers and third party couriers
